Job Description:

We are looking for an organized and professional Office Secretary to join our team. The ideal candidate will be responsible for managing the day-to-day administrative tasks, ensuring smooth operations within the office, and supporting management and staff with various duties. This role requires excellent communication skills, attention to detail, and the ability to handle multiple tasks efficiently.

Key Responsibilities:

Manage the front desk, greeting visitors and answering phone calls in a courteous and professional manner.
Schedule appointments, meetings, and conference calls, and manage the office calendar.
Handle incoming and outgoing correspondence, including emails, letters, and packages.
Prepare and edit documents, reports, and presentations as needed.
Maintain and organize office files, records, and databases, ensuring data is up to date.
Order office supplies and manage inventory to ensure the office is well-stocked.
Assist in coordinating office events, meetings, and travel arrangements.
Support the HR department with onboarding new employees and maintaining personnel records.
Handle confidential information with discretion and maintain a high level of professionalism.
Perform other administrative duties as required to support the smooth functioning of the office.
Requirements:

High school diploma or equivalent; additional qualifications as an Office Secretary or in Office Administration are a plus.
Proven experience as an office secretary, administrative assistant, or similar role.
Proficiency in MS Office (Word, Excel, PowerPoint) and office management software.
Excellent organizational and multitasking abilities.
Strong written and verbal communication skills.
Ability to work independently and prioritize tasks effectively.
Professional demeanor and ability to interact with all levels of staff and visitors.
