Job Summary:

Our company is seeking an organized and proactive Office Secretary to join our team. The ideal candidate will have excellent communication skills, a strong ability to multitask, and a professional demeanor. As an Office Secretary, you will play a key role in ensuring the smooth operation of our office by providing administrative support to the management team and staff.

Key Responsibilities:

Perform general office duties, including answering and directing phone calls, managing emails, and greeting visitors.
Prepare and distribute correspondence, memos, and other documents as needed.
Schedule and coordinate meetings, appointments, and travel arrangements for managers and staff.
Maintain and update office records, databases, and filing systems.
Assist in the preparation of reports, presentations, and other documents.
Handle incoming and outgoing mail and packages.
Manage office supplies inventory and place orders as necessary.
Assist with data entry, invoice processing, and basic bookkeeping tasks.
Maintain a clean and organized office environment.
Support other administrative tasks as required by the management team.

Qualifications:

High school diploma or equivalent; an associate’s degree or higher is a plus.
Proven experience as a secretary or in a similar administrative role.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Attention to detail and problem-solving skills.
Ability to work independently and as part of a team.
Professional demeanor and appearance.
Familiarity with office equipment, such as printers, scanners, and fax machines.
