Office Assistant Vacancy in Dubai

Job Objective:

The Secretarial position has several objectives which caters to the requirements of the Project Directors and other Projects team members by ensuring that correspondence is prepared and issued. Also handles incoming and outgoing electronic mail; record and file correspondence from contractors and consultants; and maintains an efficient filling system.

Key Responsibilities:

Prepare letters, internal memos for the Project Directors and Project Managers. Distribute the same and maintains a correspondence file.

Proper documentation of incoming correspondences, inspection request, material submittals, drawing submittals from contractors and consultants which will be recorded and distributed to the concerned RAKP staff for their review, comment, approval or signature and to be filed or distributed as necessary.

Ensures that all project files are properly maintained.

Task to do electronic data scan, photocopy, fax, distribution or filing of documents as and when required.

Meet / greet visitors and direct them to the appropriate RAKP staff member.

Receive, screens and direct telephone calls to the appropriate RAKP staff member.

Able to prepare correspondence with minimal supervision and guidance.

To do any additional tasks assigned by the line manager as required.

Ensure compliance with the company\'s policies , rules and procedures related to Health , Safety and Environmental Management.

Requirements

Requisite Qualifications:

Secondary School/ Diploma holder or of similar qualification.

experience Requirement:

Secondary School with 2-5 Years of experience.

Skill Sets:

Ability to communicate effectively and efficiently both verbal and written.

Computer literate and knowledgeable in using MS Office Product.

Good reasoning and analytical skills
