Office Assistant Vacancy in Dubai

Serve as the point person for office manager duties including:

Maintenance

Mailing

Supplies

Equipment

Bills

Errands

Shopping

Answer and direct phone calls

Organize and schedule appointments, booking, deliveries, pickups etc.

Schedule/manage meetings and welcome guests.

Write and distribute email, correspondence memos, letters, faxes and forms.

Assist in the preparation of regularly scheduled reports (preventive maintenance, stock keeping, attendance summaries, etc).

Develop and maintain a filing system

Order office supplies and research new deals and suppliers.

Maintain contact lists for customers and providers.

Book travel arrangements

Submit and reconcile office running expense reports.

Provide general support to visitors

Act as the point of contact for internal and external clients.

Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.

Maintain the office condition and arrange necessary repairs.

Partner with Human Resources to update and maintain office policies as necessary.

Organize office operations and procedures.

Coordinate with IT department on all office equipment and maintenance schedules.

Ensure that all items are invoiced and paid on time.
