As an Office Assistant, you will play a crucial role in supporting the smooth operation of the office. Your responsibilities will include handling administrative tasks, providing assistance to team members, and ensuring efficient day-to-day office activities.

Responsibilities:

Administrative Support:

Assist in day-to-day administrative tasks, including filing, data entry, and document preparation.

Manage office supplies and place orders as needed.

Reception and Communication:

Greet and assist visitors, clients, and employees in a professional and friendly manner.

Answer and direct phone calls, take messages, and relay information.

Email and Correspondence:

Manage and respond to emails and correspondence promptly.

Draft, edit, and proofread documents as required.

Scheduling and Calendar Management:

Schedule appointments, meetings, and conferences.

Coordinate and manage the calendar for the office.

Travel Arrangements:

Assist in making travel arrangements for employees, including booking flights, hotels, and transportation.

Data Management:

Organize and maintain physical and electronic files.

Ensure accuracy and completeness of records.

Meeting Support:

Prepare meeting rooms, including arranging seating and necessary equipment.

Take meeting minutes and distribute them to attendees.

Task Coordination:

Collaborate with other team members to ensure tasks are completed efficiently.

Assist in coordinating office events or activities.

Technical Assistance:

Provide basic technical support for office equipment, such as printers and copiers.

Liaise with IT support when necessary.

Confidentiality:

Handle sensitive information and documents with confidentiality and discretion.

Adhere to privacy and security policies.

Requirements:

High school diploma or equivalent.

Proven experience as an Office Assistant or in a similar administrative role.

Proficient in Microsoft Office Suite (Word, Excel, Outlook).

Excellent organizational and multitasking skills.

Strong communication and interpersonal abilities.

Attention to detail and accuracy in work.

Ability to work independently and as part of a team.

Familiarity with office equipment and basic troubleshooting.
