Project and Procurement Coordinator
Position summary:
Support procurement operations throughout the organization, by procuring or assisting users to procure the required supplies in the most efficient manner, at the right time, quality, quantity and price, while managing suppliers. To assist project teams with the coordination of resources, equipment, meetings, and information. Keep track of project activity and ensuring projects to be completed on time, schedule and within budget.
Main Duties and Responsibilities:
• Receiving and verifying purchase requisitions.
• To follow up and ensure application of all internal procurement processes and procedures.
• Purchase order initiation, verification (price, quality, and quantity comparison).
• Responsibility of all supplier management aspects and supplier verification.
• Prepare weekly/monthly spend reports and spend analysis.
• Open PO’s follow-up and reporting.
• Maintaining and monitoring project plans, project schedules, work hours, budgets and expenditures.
• Organizing, attending and participating in stakeholder meetings.
• Documenting and following up on important actions and decisions from meetings.
• Ensuring project deadlines are met. Providing administrative support as needed.
• Undertaking project tasks as required.
• Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
• Ensure stakeholder views are managed towards the best solution.
• Create a project management calendar for fulfilling each goal and objective.
• Negotiate with Vendors
• Maintain complete updated purchasing records/data in the system.
• Follow up with external vendors on goods delivery from source to destination.
• Follow up with Logistics department on all logistics and transportation aspects.
• Any other duties as and when assigned.
Required Skills and Knowledge:
• Negotiations and commercial capabilities.
• Has a customer-oriented mindset and can work under pressure.
• Strong negotiation skills, and supplier management.
• ERP, Microsoft applications and analysis skills.
• Documentation management.
• Procurement management.
• Finance and accounting skills.

Qualification:
• At least two year of working experience as Purchase and Project Coordinator.
• Proficient MS Office skills (including Excel and Word)
• Good communication skills
• Bachelor’s degree
