Job Summary:

We are seeking a dedicated and professional Secretary/Front Office Executive to join our automobile office team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service and administrative support. As a Secretary/Front Office Executive, you will be responsible for managing the front desk operations, handling phone calls, scheduling appointments, and performing various administrative tasks to ensure the smooth functioning of the office.

Key Responsibilities:

Customer Service:

Greet visitors and clients in a courteous and professional manner.

Address inquiries and provide accurate information about the company\'s products and services.

Assist customers with their inquiries and direct them to the appropriate department or personnel.

Telephone Management:

Answer and direct phone calls to the appropriate person or department.

Take detailed messages and ensure timely delivery to the intended recipient.

Manage voice mail and return calls promptly.

Appointment Scheduling:

Schedule appointments for clients and assist in coordinating appointments for staff members.

Maintain and update the appointment calendar to avoid scheduling conflicts.

Administrative Support:

Perform general clerical duties, such as photocopying, faxing, filing, and data entry.

Prepare and modify documents, including correspondence, reports, drafts, and emails.

Assist in the preparation and organization of company events or meetings.

Office Organization:

Ensure the front office area is clean, organized, and presentable at all times.

Monitor and maintain office supplies, and place orders when necessary.

Handle incoming and outgoing mail and packages.

Record Keeping:

Maintain accurate and up-to-date records of visitors and clients.

Keep track of staff members schedules and appointments.

Collaboration:

Coordinate with other departments to facilitate smooth communication and workflow.

Assist colleagues with administrative tasks when necessary.

Qualifications and Skills:

Educational Qualification: High school diploma or equivalent. Additional certification in office management or related field is a plus.

experience: Proven experience in a similar role within the automobile industry is preferred.

Communication Skills: Excellent verbal and written communication skills. Ability to communicate effectively with diverse groups of people.

Computer Skills: Proficiency in MS Office (Word, Excel, Outlook) and familiarity with office equipment (fax machines, printers, etc.).

Customer Focus: Strong customer service orientation and ability to handle clients with professionalism and patience.

Organizational Skills: Strong organizational and multitasking abilities with attention to detail.

Adaptability: Ability to adapt to changing priorities and work well under pressure.

Punctuality: Dependable and punctual with a strong work ethic.
